Testing instructions for coordinators

Brief instructions for coordinators whose participants have to be tested

If you are a coordinator who needs to test someone's English level, these instructions are for you. Read on or download the pdf document at the bottom of this page to know more about how the process works and what your role in it is.

The need

These brief instructions were created for coordinators whose participants have to go through testing. The instructions can be shared with anyone who is working with us.

Instructions for participants themselves are available on my.spotonlearning.eu, so they are not included here.

Top 5 things to make sure of

  1. The email address you register in the system is correct and used by the participant
  2. The participant is not registering on EnglishCentral themselves
  3. The participant goes through the testing instructions
  4. The participant checks the Level Test details -  the time zone, the test’s date & time, the teacher’s name - after scheduling the test
  5. The participant and you discuss the next learning steps after they are done with testing

Instructions

Here you can find brief testing instructions, i.e., what participants have to do after you enroll them (in black). Your, i.e., coordinator, action points are colored green.

1. You enroll the participant

  • Make sure you:
    • Select a suitable class
    • Indicate an accurate required level
    • Type the first and last names and the email address correctly

2. The participant opens the invitation email sent by us. No such email?

  • Make sure we have indeed invited the participant by looking at their status on MySOL
    • Is it “Invited?” Then the invitation email was sent 
    • Is it “Not started?” Then we are still processing the enrollment
  • Ask the participant to check their spam box
  • Check that the participant’s email address is correct and accurate
    • Was a mistake made when enrolling the participant? Then let us know (include the correct email address); we will then adjust it in the system and resend the invitation email
    • Did the participant provide an incorrect/old email address? Then discuss with the participant which email address can/should be used and let us know. We will then adjust it in the system and resend the invitation email

3. The participant logs into my.spotonlearning.eu and goes through the testing instructions

4. The participant looks at their scorecard to see their required level

5. The participant logs into EnglishCentral using their MySOL login details

  • Kindly instruct participants not to create EnglishCentral accounts themselves
  • Can the participant not log into their account on EnglishCentral? Then it probably means that:
    • They are either using wrong login details, i.e., not the ones we provided for my.spotonlearning.eu
    • Or they are trying to or have already created the account themselves. If so, please let us know and we will deactivate it

6. The participant schedules and takes their Level Test 

  • If possible, make sure the participant is choosing their time zone correctly or that the time zone chosen automatically is accurate
  • If the participant chooses Zoom to take the Level Test on, remind them that they will not receive any links. Instead, they will have to log into their EnglishCentral account 5-10 minutes before the test and click the red “Start your Lesson” button

7. The participant takes the English Grammar & Vocabulary Test* on my.spotonlearning.eu

  • This test can also be taken before the participant takes their Level Test, however, we do advise to schedule the Level Test first to ensure faster testing process

8. The participant waits for the results

  • The Level Test report is usually available within 3 working days. If you need it asap/sooner, please let us know in advance/as soon as you know it
  • The English Grammar & Vocabulary Test result will be available right after the participant completes the test

9. The participant and you discuss what to do next

  • Will the participant be hired/promoted? Then discuss their work schedule and agree on their next learning steps. E.g.,:
    • If the participant is going onboard soon, discuss when they will be available to start/continue with their studies
    • If the participant is going to be ashore for around 2 months, enroll them in the according course. To know which course the participant should follow, consult the flowchart

*The English Grammar, Vocabulary, Reading & Writing Test may sometimes need to be taken (results available within 5 working days). Consult the flowchart and/or training program for more information.
