In this document, we will clarify from which point Spot On Learning starts invoicing - which date we use to invoice and how to make sure participants use every day of the period.

The program starts by doing a Level Test (LT). After the current English level is determined, the participant starts working on his assigned courses. In some cases, it takes a couple of days, or sometimes weeks to plan and do the LT.

Example

Participant 1 is supposed to do a three month General Communication Course. His coordinator adds him to my.spotonlearning.eu on April 10 and on April 28 the participant does his Level Test. Despite the 18 day gap when the participant did not use the program, the three-month period finishes on July 10, three months after the participant was added to my.spotonlearning.eu.

Even though the participant can only start working on his English after the LT, the purchased period for the participant begins from the day he was added to my.spotonlearning.eu.

Managing participants: get the most out of the learning period

The above shows that the sooner a participant does the LT, the more time there is left for doing the courses. Here you find a few tips on how the client-level can help you preventing participants from needing prolongations.

  • [Tip 1] Verify with the participant if he can study/do LT within the given timeframe. Make sure you only add participants once this is verified.
  • [Tip 2] Inform participants to schedule their 20 minutes Level Test over Zoom in the first week.
  • [Tip 3] Keep track of the participants that did not do their Level Test, they will be on ‘invited’. Participants with this status need action.

Participant 4: did not do his LT (no LT score filled in) - contact participant!

Participant 2: did LT, is under review (marked as ‘Under review’) - no action needed

 

  • [Tip 4] Every Monday and Thursday, Spot On Learning sends reminders to the participants that did not do their Level Test. Coordinators receive copies of the reminders, if a participant has been informed twice, you should take action.
  • [Tip 5] Check the participants who are ‘not on target’ and contact participants who are not making enough progress.  If participants are not making enough progress to meet the objectives of the learning program, Spot On Learning marks them as ‘not on target.’
